Title: Project Coordinator

Salary: £30K - £35K

Type of contract: Full time, permanent

Location: Wimbledon, United Kingdom

 

Summary:

Do you have experience working in project management? Are you used to working in a results-oriented, fast paced environment? We are a growing ISO-accredited project management and engineering business which needs to respond rapidly to ever-changing needs of our clients in the oil & gas and renewables sectors. We are a well-organised, efficiently-run company looking for similar traits in a self-motivated Project Coordinator who works well on their own and can be a strong team player, to support a variety of project activities, working with company personnel, suppliers / vendors, and clients. We are looking for the person who takes on this role to stay for the long term and grow with the company.

Responsibilities:

  • Day to day administrative support including accurately filing records, arranging meetings, minute taking, sending items by post, etc.
  • Act as the main point of contact for enquiries from the public, company personnel, supplier / vendors, and potential / actual clients
  • Review and check invoices and Purchase Orders against orders, timesheets, etc.
  • Review and check personnel expense claims to ensure they are in line with requirements
  • Provide logistical support including arranging facilities for meetings, travel arrangements, managing travel schedules, procurement and dispatch of personal protective equipment (PPE), etc.
  • Provide onshore support to personnel travelling abroad on behalf of the company
  • Assist personnel with completing timesheets and expense forms
  • Maintain personnel HR files to ensure all necessary records are provided and are kept up to date, including employee / contractor contracts, CVs, certificates, copies of passports and driving licences, travel vaccinations, etc.
  • Maintain the SeaPlanner / Vantage system(s) for personnel as needed
  • Manage company and project trackers and registers, including uploading information and documents as needed in a timely manner, e.g. to ensure invoice payment
  • Maintain project folders in line with information and documentation requirements
  • Carry out and participate in internal and external audits as required
  • Compare and negotiate pricing from suppliers / vendors and service rates for contracted personnel
  • Actively seek client feedback

Qualifications:

  • No formal qualifications are required but would be considered an asset
  • Experience in project coordination / support / management is essential
  • Experience with document control would be an asset
  • Experience with business account support would be an asset

Skills / Knowledge:

  • The company’s language of operation is English, and the role requires a high degree of proficiency in spoken and written English
  • Excellent verbal and written communication skills
  • High degree of proficiency with current Microsoft Office applications, including Word, Excel and PowerPoint, as well as Microsoft Visio and Microsoft Project
  • Experience with SharePoint or other integrated management system, Sage Coretime or other procurement software and/or Adobe would be an asset
  • Highly organised
  • Strong time management abilities
  • Able to multi-task and appropriately prioritise tasks
  • Able to manage a high workload, including delivering results in a fast-paced environment
  • Able to be flexible / adaptable in response to changing needs / priorities of the company and its clients
